01Who is responsible

Michele is the trading name of Oleksandr Volodymyrovych Serhiienko, a sole proprietor in Ukraine, with taxpayer identification number 2997413895. He is the data controller responsible for the personal data described in this notice. Contact: [email protected].

This notice covers the public website michele-it.com and its consultant. Project contracts and access to a client's own systems may require separate data-processing arrangements.

02Data the website processes

  • Visits: a random visitor identifier, visited paths, referral website origin, campaign parameters, visit times, approximate active and visible time, and maximum scroll depth.
  • Technical information: IP address when available from the trusted proxy, approximate country and city, device type, operating system, browser, User-Agent, languages, time zone, screen and window dimensions, theme and browser capabilities.
  • Conversations: messages you send, AI and manager replies, timestamps, conversation status and the contact or project details you choose to share. An analytics visitor can be linked to their chat history.
  • Correspondence: your email address, message and any attachments when you contact us.
  • Server requests: request path, time, status and technical information used to recognise automated visitors and diagnose problems.

IP-based location and device recognition can be inaccurate. They are not GPS tracking or proof of your identity. The first-party visitor tracker does not record typed text, passwords, clipboard contents, camera or microphone data. Text submitted to the consultant is recorded separately as a conversation.

03Why this information is used

To answer enquiries, discuss projects, connect you with a manager, retain conversation context, understand website usage and diagnose or prevent abuse.

Before publication: the purpose and applicable legal basis for each activity must be finalised. This draft does not treat browsing the site, opening the consultant or failing to opt out as consent to analytics.

04AI consultant and human assistance

The consultant uses the OpenAI API. Your submitted message and recent conversation context are sent to that service to generate a response. Messages and responses are also stored in Michele's CRM. Do not submit passwords, payment card details, sensitive personal information or confidential third-party data.

When you ask to speak to a manager, the conversation can be transferred to an authorised Michele team member. New-conversation and handoff notifications may be delivered through the service Telegram bot. AI responses can be incorrect and are not a binding quote or contract.

05Services involved

  • Cloudflare: website delivery, security, approximate IP geolocation and forwarding mail addressed to [email protected].
  • Hetzner: hosting the application and its database.
  • OpenAI: generating consultant responses.
  • Google: Google Analytics on the home page, Google Fonts on the Ukrainian home page and delivery of privacy correspondence to the owner's Gmail inbox.
  • Telegram / WhatsApp: communications when you choose these channels; Telegram also carries internal service notifications.

Access within Michele is restricted to authorised personnel according to their role. Providers may process information in different countries. Their exact contractual entities, processing locations and any required international transfer safeguards must be confirmed before this notice is finalised; no EU-only storage or transfer guarantee is made here.

06How long data remains

The current application does not automatically delete visitor profiles, page-view history or conversations after a fixed retention period. A cookie expiring or being cleared does not delete records already stored on the server.

Retention periods, deletion of backups and a process for handling access and deletion requests must be agreed and implemented before this draft becomes final. To ask about an existing record or request deletion, write to [email protected].

07Cookies and current controls

The home page currently starts first-party analytics and Google Analytics independently of the privacy form. The form is a prototype: it saves an answer only in this browser and does not enable, disable or delete tracking data. Choosing “I do not agree” in this prototype does not stop data collection.

The existing first-party tracker and its API respect DNT/GPC; the legacy local opt-out flag also stops that tracker. These controls do not establish equivalent behaviour for Google Analytics. A working consent mechanism remains a requirement to resolve before final publication.

These legal pages load no analytics, chat module or remote fonts. Hosting and security services still receive the request needed to display a page. See the cookies section below for storage details.

08Cookies

Cookies are small values stored by your browser and sent with matching requests. Local storage keeps settings for an origin; session storage generally lasts for the tab session, although browser session restoration can restore it. Clearing browser storage does not erase server-side records.

09Storage used by Michele

michele_public_chat_session

HttpOnly cookie on the CRM host, created when starting a chat. Keeps access to your conversation. Configured lifetime: up to 365 days.

michele_website_visitor

HttpOnly analytics cookie on the CRM host, set by the first accepted tracking event. Links page visits and may link them to a chat. Configured lifetime: up to 365 days.

michele_website_access

HttpOnly cookie shared between michele-it.com and its subdomains to check access restrictions for an already recognised browser. Uses the existing visitor identifier; does not identify a person. Configured lifetime: up to 365 days, renewed on synchronisation. Access checks run independently of analytics preferences and do not create new visit records.

michele-analytics-tab, michele-analytics-visit, michele-analytics-last-active

Session storage for the visitor tracker: tab, visit and latest activity. A new visit is started after 30 minutes of inactivity.

michele-widget-draft, michele-widget-open

Session storage for unsent chat text and the open/closed state. The draft is stored locally before it is sent.

michele-website-theme

Local storage for the colour-theme preference. Language is determined by the URL. No automatic expiry is configured; the value remains until changed or cleared by the browser or user.

michele-privacy-choice

Local storage containing your acceptance or refusal, its timestamp and the notice version. This is a prototype answer, not a signal used by analytics or the API. Keeps the form from asking again on each visit. No automatic expiry is configured; clearing storage or a new notice version requires a new choice. If storage is blocked, the choice applies only to the current page.

michele-analytics-disabled

The existing first-party analytics opt-out flag in local storage. A value of 1 stops that tracker, not Google Analytics. The prototype form does not change or remove this flag.

10Google and Cloudflare

The home page loads Google Analytics (property G-C2S9RCYRYX). It may set cookies such as _ga and _ga_*. Their actual lifetime and the property retention settings require verification; they are not confirmed by this draft.

English pages serve Manrope font files directly from this website. Google Fonts requests on the Ukrainian home page disclose request metadata to Google; they are separate from analytics cookies. Cloudflare may use security cookies if its relevant protections are triggered. An exhaustive production cookie scan is still required.

11Prototype and existing controls

The privacy form currently records a local answer only. It is not connected to analytics, CRM storage or deletion. Neither button in this prototype changes tracking behaviour.

The existing first-party tracker respects DNT/GPC and its legacy opt-out flag. Google Analytics remains a separate integration. You can manage browser storage and contact [email protected] about stored personal data. Clearing the chat cookie can prevent recovery of your conversation. Previously stored server records are not automatically deleted.

12Questions and requests

Contact [email protected] to request access, correction or deletion of your data, or to raise an objection. Other rights, including restriction, portability and withdrawal of consent, depend on the applicable law and processing basis. We may need proportionate information to identify the relevant records; do not send identity documents unsolicited.

You can also contact the competent supervisory authority: Ukraine's Parliamentary Commissioner for Human Rights, your EU data protection authority, or the UK Information Commissioner's Office, as applicable. US privacy rights depend on the relevant state law and whether it applies to this business.
